Privacy Statement

This Privacy Statement explains how ARKADE (“we”, “us”, or “our”) collects, uses, and protects information when you use our Discord bots and related website services.

1. Scope

This statement covers ARKADE-operated Discord bots (the “Bots”) and related features on arkadeonline.com that interact with those Bots. It does not cover Discord itself or third-party services you connect through Discord. Discord’s own privacy practices are described in Discord’s Privacy Policy.

2. Information We Collect

Depending on how you use the Bots, we may process:

  • Discord account identifiers such as user ID, username/display name, avatar URL, and whether you are a bot or human account.
  • Server (guild) information such as guild ID, channel IDs, role IDs, and configuration values needed for Bot features (for example welcome messages, role assignments, or command permissions).
  • Command and interaction data such as slash-command usage, button/modal submissions, timestamps, and the content you provide when using Bot features.
  • Message content only when necessary to provide a feature you invoked (for example moderation helpers, ticket tools, tag commands, or rank/XP from chat activity). For the community rank system we store XP totals and message counts, not general channel chat logs. We do not use Bot access to scrape private DMs or unrelated channel history for advertising.
  • Linked gameplay or community data if you choose to connect accounts or use features that store progress, rewards, votes, invite attribution, or similar community records tied to your Discord identity.
  • Technical logs such as error logs, rate-limit events, and operational metrics used to keep the Bots reliable and secure.

3. How We Use Information

We use the information above to:

  • Operate, maintain, and improve Bot features you or your server administrators enable
  • Respond to commands, automate community workflows, and deliver requested notifications
  • Enforce server rules and support moderation where those features are enabled
  • Prevent abuse, diagnose outages, and maintain security
  • Comply with legal obligations and Discord’s Developer Terms of Service / Policies

We do not sell your personal information.

4. Message Content and AI Summaries

We do not use Discord message content to train machine learning models. When a support ticket is closed, we may send the ticket transcript to Google Gemini solely to generate a one-time staff summary for operational support. That processing is not used for model training.

5. Legal Bases (Where Applicable)

Where privacy laws require a legal basis, we typically rely on: (a) performance of a service you requested; (b) legitimate interests in operating a safe gaming community and Bot infrastructure; and/or (c) consent where a feature requires optional linking or additional data.

6. Sharing of Information

We may share information with:

  • Service providers that host our website, databases, or infrastructure, under confidentiality and security obligations
  • Server administrators / authorized staff for moderation and support within ARKADE communities
  • Discord as required to operate Bot APIs and integrations
  • Authorities when required by law, or to protect rights, safety, or the integrity of our services

7. Retention

We retain Bot-related data only as long as needed for the purposes described above, or longer if required for security, dispute resolution, legal compliance, or server configuration continuity. Rank, invite, and ticket-related records may be kept longer than 30 days until deleted or no longer needed. Operational logs are typically retained for a limited period and then deleted or anonymized.

8. Security and Encryption

We use reasonable administrative, technical, and organizational measures to protect information processed by the Bots. Discord-related text fields stored by our Bots (such as display names and activity detail strings) are encrypted at the application layer before being written to MySQL when ARKADE_DATA_ENCRYPTION_KEY is configured. Data is stored in the database as ciphertext, not readable plaintext. Our MySQL servers do not use TLS for Bot connections; protection at rest comes from this application-layer encryption. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of certain personal data. You can:

  • Leave a Discord server where our Bots are installed
  • Ask server administrators to disable Bot features or remove the Bot
  • Opt out of optional engagement tracking (rank XP from messages, reactions, and voice time) using /privacy opt-out in the ARKADE Discord server. Use /privacy opt-in to re-enable optional tracking, or /privacy status to check your current preference.
  • Contact us via Discord to request deletion or review of Bot-stored data associated with your Discord user ID

Opting out of optional tracking does not disable essential safety features such as automod (anti-spam), member join/leave logging for moderation, or ticket transcripts for support channels you participate in while a ticket is open.

Some data may need to be retained for a period (for example abuse prevention or legal compliance). Removing a Bot from a server does not automatically erase historical records already stored for that server.

10. Data Deletion Requests

You may request deletion of Discord-related activity data we store (for example rank/XP records, invite attribution tied to your account, or optional analytics) by contacting ARKADE staff:

  • Open a support ticket in our Discord server using the normal ticket system or support channels listed on the website
  • State that you are making a data deletion request and include your Discord user ID if staff cannot verify your identity from the ticket channel

Staff review deletion requests manually and aim to complete them within a reasonable timeframe. Some records may be retained where required for security, fraud prevention, or legal compliance (for example moderation logs related to active investigations). Using /privacy opt-out stops future optional tracking but does not erase data already stored before you opted out.

11. Children’s Privacy

Our Bots and community services are intended for users who meet Discord’s minimum age requirements and any applicable local laws. We do not knowingly collect personal information from children below those ages. If you believe a child has provided such information, contact us and we will take appropriate steps.

12. International Processing

Information may be processed in the United States or other locations where our providers operate. By using the Bots, you understand that your information may be transferred to jurisdictions with different data-protection rules than your own.

13. Changes to This Statement

We may update this Privacy Statement from time to time. The “Effective date” at the top of this page will reflect the latest revision. Continued use of the Bots after changes become effective constitutes acceptance of the updated statement.
